Terms and Conditions

**Non-payment does not constitute cancellation**

Registration and payment: Registration fees for the FLPA Retreat are being charged in Australian Dollars and include all applicable taxes. By completing your registration, you acknowledge the below terms and conditions. Your registration is not confirmed until full payment is received.

Registration cancellation: All cancellations must be made in writing to Iceberg Events. Verbal changes or cancellations cannot be accepted. No refunds will be provided for a cancellation however, an alternative delegate name may be provided in writing, and the booking and funds will be allocated accordingly. 

Should the 2026 Retreat sell out, Iceberg Events will implement a waitlist system for exchange of registrations. If you wish to transfer your registration to a delegate on the waitlist, your contact details will be exchanged, and it is the responsibility of the delegate to arrange the exchange process and transfer of funds between parties in a timely manner. Once the exchange has been confirmed, details must be emailed to cherono@icebergevents.com.au

FLPA and/or the Retreat Organisers (Iceberg Events) are not liable for any travel and/or accommodation costs associated with cancellation of the conference or inability to attend due to government restrictions or border closures. Personal or company insurance policies should be referred to in these circumstances.

If a delegate fails to attend the Retreat, no refunds or credits will be issued.

Accommodation: To take advantage of the discounted accommodation rates, bookings must be made via Iceberg Events. Any changes to your booking must be made via email to Iceberg Events: cherono@icebergevents.com.au – not directly with the hotel. Any bookings outside of the Retreat dates (check-in Wednesday 3 June, and check-out Sunday 7 June 2026) will be subject to the hotel's availability and best available daily rate. If you would like to book a longer stay, please contact Iceberg Events (cherono@icebergevents.com.au), who will communicate directly with the hotel. Please note that bookings cancelled after Tuesday, 5 May 2026, or failure to arrive at the hotel on the designated date of arrival (no-show) will incur penalties. 

A block of accommodation is held for this event at the advertised rate. This block will be held until Tuesday 5 May 2026. Any unsold or unpaid rooms after this date will no longer be guaranteed, and it will be at the hotel’s discretion whether they accept additional reservations. Occasionally, the accommodation block shown will be exceeded by a rush of last-minute bookings. Should this occur, every effort will be made to acquire more rooms at the rate advertised, at the same, or similar (nearby) venue. Should we be unable to acquire more rooms at a rate equal to or less than the advertised rate, your accommodation deposit will be refunded to you. We will communicate with you throughout this process.

Full payment for your entire stay must be received before accommodation will be confirmed. If payment for bookings has not been received 30 days out from the event, your accommodation booking will be released.

Accommodation cancellation: Cancellations must be made in writing to Iceberg Events (cherono@icebergevents.com.au) before 5pm AEST on Tuesday 5 May 2026. Refunds will not be made on cancellations on or after this date due to group booking policies. Substitutes are welcome. 

Program changes: The program, speakers, venues, dates, times, and advertised features are correct at the time of printing. The Retreat Organisers reserve the right to amend any aspect of the program if circumstances require.

Delegate conduct & safety: All delegates are expected to observe the following standards of behaviour throughout the Retreat. Breaches may result in removal from the Retreat without refund.

At all times during this Retreat, you must:

  • behave in a professional and respectful manner, avoiding any conduct, speech, or communication that could reasonably be considered offensive, disruptive, or inappropriate;
  • if consuming alcohol, do so responsibly and in a manner that does not impair your behaviour or the experience of others;
  • not place the health, safety, or wellbeing of any person at risk, or cause personal injury or damage to property;
  • show respect to speakers, fellow delegates, and staff, and refrain from interrupting or disrupting the program or other Event activities;
  • comply promptly with all reasonable and lawful directions issued by the Organisers, authorised staff, contractors, or venue personnel;
  • ensure that any individuals accompanying you comply with the same standards of conduct.


Insurance: Insurance, including medical cover and travel insurance, is the responsibility of the delegate. FLPA and/or Retreat Organisers (Iceberg Events) will take no responsibility for any participant failing to insure.

Liability: FLPA and/or Retreat Organisers (Iceberg Events) shall not be held liable for personal accidents or losses or damage to private property of registered delegates of the conference. Delegates should make their own arrangements with respect to personal insurance.

Emergency Contact Information: All delegates are required to provide emergency contact details as part of their registration. By submitting this information, delegates confirm they have obtained the consent of the nominated person to share their details. This information will be used solely for managing health and safety matters during the event and will be kept confidential. 

Privacy: FLPA and/or the Retreat Organisers (Iceberg Events) will use the information you provide on the registration form to be in touch with you and to provide updates and information related to the FLPA Retreat. Your details (first name, last name, position and organisation only) will also be shared with Retreat sponsors. You can choose to opt out of this within the registration form.

For networking purposes, FLPA may make the name, position, and organisation of each attendee available to delegates in the form of a delegate list. If you indicate that you do not wish for your details to be shared, your name will not appear on the delegate list.

Please be aware that filming and/or photography is taking place at this event for promotional and archival purposes. By attending this event, you agree to be photographed or filmed. These images/videos may be used for marketing and promotional materials, and are likely to appear on our website, newsletters and social media channels. If you do not wish to have your image recorded, please identify yourself to staff at the registration desk upon arrival and inform the photographer.

By registering, you agree that FLPA and the Retreat Organisers (Iceberg Events) may process your information and use images of you in accordance with these terms.
